Run a Coffey County Case Search

A Coffey County case search starts with the district court and the clerk who keeps its records. You can look up a case by number, party, business, or citation through the statewide search, which covers the Coffey County District Court. The local clerk and the courthouse terminal fill gaps that lawful online limits can create. Run a Coffey County case search with the narrowest identifier you have. Then read each result as an events index, not a full case file. Municipal and federal matters sit in other systems. If a web match comes up empty, the cause could be the wrong court, an old number, a restricted category, or a verification issue.

Searching Cases by Name

For a docket search by name, begin at Kansas CaseSearch. It is the public statewide route into Coffey County District Court records. Accept the terms. Pick District and Party Name. Narrow the county to Coffey. Guests can view basic case information under the current notice. ID.me relates only to approved expanded access. It is not a requirement for every ordinary guest search.

  1. Open CaseSearch and accept its public-access notice.
  2. Choose District as the court and Party Name as the search type.
  3. Enter the search term, select Coffey County, and add a case type or file-date range only if needed.
  4. Complete the human-verification control and run Search.
  5. Compare likely matches by case number, file date, category, court, and public events.

A name search can pull up several people or spellings at once. So a name match proves nothing by itself. Open the case-level record, note its case number, and use that number for every later check.

Coffey County CaseSearch Controls

The portal now in service replaces older Smart Search instructions. Those instructions still appear in some court materials. Its search types are case number, party name, business name, party as business name, and citation number. Extra filters add case type, date of birth, and file-date limits. Keep private details inside the official portal for a lawful search only. The screen offers Accept, Decline, Search, Reset, and Additional Search Filters controls. A Turnstile human check guards the search. The portal promises no export, bulk download, pagination, document price, or fixed maintenance window. So do not count on those features. The Fourth Judicial District case-information page shows the district's own description of its case-information channels.

That district page links the online route to the public courthouse computer. For current controls, the live CaseSearch form governs.

Searching by Case Number

A full case number is the sharpest Coffey County case search tool. Coffey County moved to the Odyssey format on November 2, 2020. A post-conversion number looks like CF-2024-CV-000123: CF marks Coffey County, 2024 is the filing year, CV is the case-type code, and the last six digits run in sequence. Criminal and probate files use CR and PR. Older cases may lack the county prefix, as in 2019-CR-000123. If a copied number fails, ask one question first. Did it fall before or after the cutover? Keep the leading zeros either way. Do not guess at a category when you search. The district clerk can confirm the right format for an old record that stays hard to find.

Coffey County Case Number Clues

The county code and filing year can hide a record in plain sight. Adding CF to a pre-conversion number can fail. So can omitting it from an Odyssey number. The portal model assigns Coffey the CF prefix and data code 120420, but search with the displayed county name and the documented case number. The internal numeric code is not for public use.

CF
Coffey County prefix on post-conversion Odyssey case numbers.
CR
Criminal case-type code in the illustrated format.
CV
Civil case-type code.
PR
Probate case-type code.
Events index
The public chronological case-event list named in Kansas Rule 22.

Case-type codes just classify the file; they say nothing about guilt, liability, judgment, or current status.

What a Case Search Returns

A public result is case information, not a certified court file. Live detail varies with the category. The access rule in play matters too. Read the header fields and the dated events with care. Need the text of an order or judgment? Request the filed document from the Clerk of the District Court.

Case NumberThe full identifier, such as CF-2024-CV-000123.
Case StyleThe official caption or title.
Case TypeCriminal, civil, family, probate or mental health, or another category.
Filed DateThe opening or initiating filing date.
CourtCoffey County District Court for the state trial file.
JudgeThe assigned judicial officer when exposed.
StatusThe portal’s current status label, which must be read as shown.
EventsDated filings, hearings, orders, and other public entries.

“Filed” does not mean granted. “Hearing set” does not mean held. A dismissal might cover one claim, one count, one motion, or the entire case, so read the entry and the filed order before you draw any conclusion.

Coffey County Courthouse Terminal Access

Kansas Supreme Court Rule 22 treats the portal and the courthouse terminal as two separate public outlets. Each serves the public in its own way. The portal notice itself says more information may be available at a terminal. Coffey County provides a public computer. It sits in or beside the district clerk's office at 110 S. 6th Street, Suite 102, Burlington. A case or events index left off the web can still sit on the terminal. What the terminal cannot do is make a nonpublic record public. That line matters most for family and juvenile categories. Ask the clerk which lawful version you can see. Do not try alternate names to slip past an access limit.

Portal versus terminal: Online omission can reflect Rule 22’s remote-access boundary. It does not prove that the case does not exist or that the terminal will reveal a sealed record.

Statewide vs County Case Search

Coffey County has no county-built case database of its own. Kansas CaseSearch covers the state, while the Fourth Judicial District supplies local clerk, terminal, and calendar channels. The real comparison is statewide web access versus Coffey County verification, not two rival portals.

Statewide CaseSearchCoffey County channels
Searches participating Kansas district and appellate recordsFocuses on the Coffey clerk file, terminal, and judge calendars
Supports name, business, case, and citation termsSupports direct help with a known local case or document
Shows public case information and eventsCan provide available filed copies and setting confirmation
Subject to portal category and human-check limitsStill subject to sealing, confidentiality, and access law

The Kansas Courts eFiling System is not a search option at all. It serves authorized filers who submit new cases and later documents. The civil-filings preview is no substitute for the accepted case's ongoing CaseSearch record either.

Cases Outside Coffey CaseSearch

City cases live somewhere else. A city ordinance or city-traffic matter stays with the municipal clerk unless an appeal opens a Coffey County District Court record. Burlington's vendor page takes certain payments, but it is not a public docket viewer. Lebo, Waverly, LeRoy, and New Strawn offer no official public municipal case-search interface either. Call city hall or the municipal clerk directly.

Federal matters follow a different path. A federal case tied to Coffey County belongs to the U.S. District Court for the District of Kansas, Fort Scott Division, reachable through PACER, a federal public terminal, or the federal clerk. Kansas CaseSearch never holds that docket. Check the right venue first. That habit keeps a broad state docket search from returning a false "no case" answer.

Access and Restricted Cases

Rule 22 keeps certain case types and documents off remote public access. The list covers adoption, child in need of care, divorce or dissolution, expunged cases, guardianship, juvenile offender, parentage, protection matters, and several care-and-treatment categories. The Fourth District also offers a warning. Its online search does not supply divorce, visitation, support, or paternity details.

Portal limits do not make a whole file secret. A public events index may sit on the terminal even when it is absent online. Sealed and nonpublic records stay closed. A Kansas Open Records Act request can be denied or redacted under statute, court rule, case law, or order. The request cannot override those limits.

Some documents are barred outright. These include traffic citations, presentence investigation reports, probable-cause affidavits supporting warrants, trial exhibits, and unexecuted warrants. The events index can list an action while its document image stays offline.

When Coffey CaseSearch Finds Nothing

Check the basics before giving up. Confirm District, Coffey County, the search type, spelling, date range, and number format. Then try the narrowest known term and complete the human check. If the case predates the Odyssey cutover, test the documented older format. A blank result is not a legal finding.

The Clerk of the District Court can help at (620) 364-8628. The courthouse terminal works too. Mail requests go to P.O. Box 330, Burlington, KS 66839, fax to 620-364-8535, or email to megan.anderson@kscourts.gov. Ask for a specific case, date, or document. For a filed copy, send the court KORA form and expect possible cost estimates.
